About the role
This is an exciting opportunity for an organised and proactive individual to join a growing PMO function within a regulated financial services environment, supporting Polo Works onboard and then running new insurance syndicates. The Project Support Officer is the backbone of the PMO team, taking ownership of day‑to‑day tracker maintenance, documentation and meeting administration across allocated syndicates while supporting PMO growth initiatives. Working closely with the Syndicate PM and wider PMO team, this role ensures data is accurate, documentation is up to date, and reporting cycles are supported effectively. The role offers a clear progression pathway into a PMO Analyst position.
Key responsibilities
- Maintain syndicate trackers and reporting tools, collate updates and quality‑check data submissions to support accurate RAG status, milestone reporting, action tracking and weekly or monthly PMO reporting cycles.
- Act as the first point of contact for work‑stream data queries, chase updates ahead of deadlines and flag data gaps, inconsistencies, late submissions and risks or issues requiring attention.
- Support syndicate onboarding by maintaining folder structures, tracker templates, onboarding packs and PMO document libraries, ensuring version control and easy retrieval.
- Coordinate governance meetings by preparing agendas, distributing pre‑reads, compiling meeting packs and providing syndicate or project coordination support when required.
- Perform changes and administrative activities on the PMO tool as assigned.
Required profile
- 2‑3 years experience working within a PMO, Project Support Officer, Project Coordinator or a similar project‑based role.

Required skills
- Advanced Excel skills (formulas, pivot tables, data validation, conditional formatting).
- SharePoint for document management, collaboration and version control.
- Power BI for creating and maintaining reports and dashboards.
- Knowledge of Prince2, Agile or Waterfall project methodologies.
- Experience with Microsoft Power Apps and Power Automate.
