Executive Assistant – Commercial Litigation Team (London)

About the role
We are seeking a proactive Executive Assistant to support the partners of our Commercial Litigation team in London. The role involves high‑level administrative support, coordination of departmental processes, and acting as a trusted point of contact for clients and internal stakeholders.
Key responsibilities
- Provide comprehensive diary management for nine partners, including meeting scheduling, travel arrangements, and conference bookings.
- Coordinate departmental events, training workshops, and social activities.
- Draft and proof‑read correspondence, reports, minutes, spreadsheets, and presentation slides.
- Manage client relationships, act as gatekeeper for calls and emails, and respond to queries.
- Handle accounting tasks such as invoice processing, expense management, billing assistance, and preparation of financial statements.
- Maintain client data, support marketing initiatives, and undertake ad‑hoc projects as required.
Required profile
- Extensive legal secretarial or PA experience within a law firm or professional services environment.
- Strong organisational skills, attention to detail, and the ability to work flexibly under pressure.
- Excellent written and verbal communication, with sound judgement when handling confidential information.
- Proactive, commercial awareness and the ability to prioritize workload independently.
Required skills
- Microsoft Outlook for calendar and email management.
- Microsoft Excel for data analysis and reporting.
- Microsoft Word and PowerPoint for document creation.
- Experience with databases and the ability to adapt to new software.
