Executive Assistant – Support CEO & COO

About the role
This temporary position provides high‑level executive support to the CEO and COO of a fast‑moving organisation in Oxford. You will work on‑site twice a week, handling confidential matters, complex diary management and travel logistics while ensuring smooth day‑to‑day office operations.
Key responsibilities
- Manage and prioritise the CEOs and COOs calendars, meetings and travel arrangements.
- Act as the first point of contact for internal and external communications.
- Prepare briefing papers, agendas, meeting documentation and take accurate minutes.
- Process expense claims and conflict‑of‑interest declarations.
- Coordinate board meeting administration and governance support.
- Oversee office facilities, suppliers and equipment, ensuring a well‑functioning workplace.
- Arrange meetings, events, venues, room bookings and catering.
Required profile
- Previous experience as an Executive Assistant, Personal Assistant or senior administrator, preferably within healthcare.
- Proven ability to manage complex diaries and competing priorities in a fast‑paced environment.
- Strong organisational skills and attention to detail.
- Availability to start no later than the beginning of September.

What we offer
- Competitive hourly rate of £18.75 plus holiday pay, up to £23.78 via umbrella.
- Full‑time contract (37.5 hours per week) until June 2027.
