People Co‑ordinator – Remote (UK)

About the role

White Rabbit Hospitality is looking for a highly organised People Co‑ordinator to support the employee journey across its fast‑growing portfolio of hospitality brands. Working remotely from anywhere in the UK, you will partner directly with the Head of Talent to deliver recruitment, onboarding, learning and HR administration for multiple sites and countries.

Key responsibilities

• Manage job postings on Talos ATS, Indeed and LinkedIn, ensuring adverts are live, accurate and on‑brand.
• Coordinate interview schedules across brands, liaising with candidates and hiring managers.
• Maintain candidate records in Talos and provide timely, on‑brand communication from acknowledgement to offer.
• Support right‑to‑work checks and pre‑employment screening in line with UK and European legislation.
• Oversee new‑joiner onboarding, including All Gravy setup, induction scheduling and joining instructions.
• Track training completion across sites and produce compliance reports for the Head of Talent.
• Keep employee records and people trackers up to date in the Fourth system.
• Prepare offer letters, contracts and onboarding paperwork, ensuring proper filing and version control on SharePoint.
• Act as the first point of contact for hiring managers and venue teams on day‑to‑day people queries.

Required profile

• Previous experience in a People, HR, recruitment or talent coordination role, preferably within hospitality, retail or a fast‑paced environment.
• Strong attention to detail, accuracy and ability to manage multiple priorities.
• Excellent communication skills and a customer‑focused mindset.
