About the role
We are seeking a proactive Pharmacy Team Administrator to support the Pharmacy/Medicines Management Team at Dorset HealthCare University NHS Foundation Trust. The role involves providing comprehensive administrative assistance across education, training and safety portfolios, and ensuring smooth coordination of meetings and reports.
Key responsibilities
- Manage ordering and distribution of FP10 prescriptions, including setting up new codes and pads.
- Coordinate prescribing and drug usage data, producing complex reports.
- Provide administrative support for the Pharmacy/Medicines Management Team, especially education, training and safety portfolios.
- Organise high‑level meetings, prepare agendas, take minutes and follow up on action points.
- Maintain effective relationships across all Trust levels and liaise with internal and external departments.
- Prioritise emails, alert the Chief Pharmacist to urgent requests and manage diary schedules.
- Develop and maintain electronic and paper filing systems ensuring secure retrieval.
- Arrange training events, book venues, manage delegate invitations, hospitality and travel for senior staff.
- Support the Trust prescribers register and assist staff with lost or missing FP10s.
- Provide administrative assistance to Medicines Management Groups and other committees, including venue booking and speaker coordination.
Required profile
- Pro‑active administrator with excellent interpersonal and organisational abilities.
- Experience in meeting management, minute‑taking and diary management.
- Proficiency with Excel, Word, PowerPoint and Microsoft Teams.
- Prior experience in pharmacy or medicines management environments is an advantage.
- Willingness to work a fixed‑term maternity cover on a secondment basis.
- Valid right to work in the UK (no visa sponsorship).
