Property Management Assistant

About the role

We are looking for a highly organised and proactive Property Management Assistant to support two experienced Property Managers within a well‑established residential property business. The role is hands‑on, requiring excellent attention to detail and the ability to juggle multiple priorities while delivering top‑class service to clients, tenants and leaseholders.

Key responsibilities

• Assist two Property Managers with day‑to‑day management of a residential property portfolio.
• Arrange reactive maintenance call‑outs and coordinate contractors to ensure efficient repairs.
• Schedule planned maintenance and statutory servicing works.
• Liaise with tenants, leaseholders, contractors and clients, handling routine and complex enquiries.
• Process service‑charge queries, repairs, and maintenance requests.
• Manage insurance claims from notification through to completion, including repair arrangements and contractor invoicing.
• Check and process supplier invoices accurately.
• Maintain accurate records using the company’s property management systems.
• Ensure compliance with health and safety requirements.

Required profile

• Previous experience in residential property management or block management.
• Excellent organisational and time‑management abilities.
• Strong communication skills for building relationships with clients, tenants, leaseholders and contractors.
• Ability to manage multiple tasks and prioritise effectively.
• Good administrative and financial processing skills, including invoice handling.

Required skills

• Proficiency in Microsoft Outlook.
• Proficiency in Microsoft Word.
• Proficiency in Microsoft Excel.
