About the role
The IT Portfolio Management Office Specialist will run day‑to‑day IT portfolio governance, ensuring consistent controls, delivery discipline and clear visibility of progress, risks and hotspots across the portfolio. The role supports Delivery Excellence by operating and continuously improving stage‑gate processes, standards, planning practices and tooling, while enabling effective delivery through portfolio‑level resource management.
Key responsibilities
- Own and operate the stage‑gate/governance process end‑to‑end, including scheduling, pack readiness, inputs/outputs, decisions and action tracking.
- Conduct delivery assurance activities such as readiness and control checkpoints to surface risks, control gaps and improvement opportunities, and ensure follow‑up actions are owned and closed.
- Manage the supply/demand mechanics – intake hygiene, forecasting roll‑ups and constraints – and raise capacity decisions to the PMO Director or leadership forums.
- Track portfolio status, milestones and delivery health, maintain accurate roll‑ups and highlight trends.
- Identify and flag hotspots early, support escalation and resolution by providing high‑quality data, clear narratives and action tracking.
- Maintain traceability between initiative status, business‑case milestones and expected benefits to support portfolio‑level value reporting and post‑implementation review.
Required profile
- Proven experience in a PMO or portfolio‑operations role supporting multiple projects or programmes.
- Hands‑on experience running portfolio governance or stage‑gate processes with high data quality and adherence to standards.
- Track record of delivering continuous improvement to processes, templates, reporting and tooling.
- Strong stakeholder management and the ability to work independently with project managers, delivery leads and enabling functions.
- Excellent written and verbal communication skills, including the production of concise packs and clear portfolio narratives.
