About the role
We are seeking an organised and proactive Receptionist & Office Administrator to be the welcoming face of Optio Group in our London office. The role combines front‑desk duties with a broad range of administrative, event‑planning and light executive‑assistant responsibilities, ensuring the office runs smoothly and efficiently.
Key responsibilities
- Greet visitors, clients and candidates, creating a positive first impression.
- Answer and direct the main phone line, manage the inbox and handle messages professionally.
- Book and prepare meeting rooms, arrange refreshments and maintain tidy spaces.
- Receive and distribute post, couriers and deliveries, and issue visitor passes in line with security procedures.
- Monitor office supplies, liaise with cleaners, contractors and building management, and act as the first point of contact for facilities issues.
- Maintain filing systems, shared folders and office documentation.
- Support health and safety duties, including fire‑warden and first‑aid responsibilities.
- Plan and coordinate internal events such as team lunches, socials, all‑hands meetings and off‑site celebrations.
- Process expenses and arrange travel and accommodation bookings for the team.
- Assist senior team members with diary management, meeting logistics and preparation of agendas and meeting packs.
- Support onboarding of new starters, including desk setup and welcome packs.
Required profile
- Highly organised with a proactive approach to tasks.
- Excellent communication and interpersonal skills.
- Ability to multitask in a fast‑paced environment.
- Strong attention to detail and a customer‑focused attitude.
- Comfortable working both independently and as part of a collaborative team.
