Executive Assistant to COO

About the role
We are looking for a highly organised and proactive Executive Assistant to support our COO in a fast‑paced creative environment. The role is fully office‑based and requires exceptional coordination, discretion, and the ability to juggle multiple priorities across operations, talent, production, clients and internal teams.
Key responsibilities
- Manage the COO’s diary, meetings, travel arrangements and day‑to‑day schedule.
- Coordinate internal and external meetings across multiple stakeholders and time zones.
- Prepare agendas, presentations, reports, briefing notes and other meeting materials.
- Screen and prioritise emails, calls and correspondence.
- Support delivery of operational projects and company initiatives, liaising with department heads, creatives, freelancers, suppliers and clients.
- Monitor workflows, deadlines, budgets and resource planning; maintain operational documentation and reporting systems.
- Assist with event planning, shoots, launches or production logistics as required.
- Act as a key point of contact on behalf of the COO, building strong relationships with internal teams and external partners.
- Handle confidential and sensitive information with professionalism.
- Process expenses, invoices, purchase orders and approvals; organise contracts, filing systems and digital records.
- Support onboarding and coordination of freelancers or new starters and assist with general office management tasks.
Required profile
- Previous experience as a PA, Executive Assistant or Operations Coordinator.
- Background in sports, entertainment, creative, media or a fast‑moving commercial environment.
- Exceptional organisational and multitasking abilities with high attention to detail.
- Strong written and verbal communication skills.
- Ability to remain calm under pressure and adapt quickly.
- Proactive, solutions‑focused, professional and discreet.
- Confident communicator, highly dependable and collaborative with a positive attitude.
- Passionate about creative industries and culture.
