Project & Events Coordinator

About the role

We are seeking an experienced and highly organised freight forwarder to join our Projects & Events logistics team near Heathrow. The role coordinates end‑to‑end movement of freight and equipment for exhibitions, conferences, live events and other time‑critical projects, ensuring cargo arrives safely, on time and meets project requirements.

Key responsibilities

• Coordinate end‑to‑end freight forwarding activities for projects, exhibitions and events.
• Arrange international and domestic air, sea and road freight, including courier and specialist transport.
• Prepare and manage shipping documentation such as commercial invoices, packing lists, airway bills and customs paperwork.
• Develop and maintain detailed shipment schedules to meet strict event deadlines.
• Track shipments, proactively manage delays and communicate status updates to clients and internal stakeholders.
• Negotiate freight quotations and monitor costs to ensure accurate invoicing and cost allocation.
• Support on‑site operations during event build‑up, breakdown and time‑critical deliveries.

• Confident communicator with clients, suppliers and operational partners.
• Commercial awareness of freight costs and quotations.
