About the role
We are looking for an experienced Secretary to join our Birmingham office on a fixed‑term basis until 31 December 2026. The role sits within the national Secretarial Services hub, providing central administrative support to all business areas, employees and partners across Barnett Waddingham.
Key responsibilities
- Process incoming and outgoing post, scan documents and distribute them in line with compliance standards.
- Handle secretarial help‑desk requests, including courier bookings, travel and accommodation arrangements, purchase order creation and receipt.
- Prepare digital and print documents, manage billing requests and undertake routine data‑entry projects.
- Provide central switchboard telephony support and organise team meetings, calendar invites, agendas and minute taking.
- Support senior team members on larger projects and cover other secretarial teams as needed, including occasional travel to other offices.
Required profile
- Previous secretarial or office administration experience in a similar environment.
- Strong discretion, confidentiality and professional conduct.
- Ability to adapt and provide tailored support to a larger secretarial team.
- Experience in professional or financial services environments is desirable.
Required skills
- Intermediate proficiency with Microsoft Office 365 (Outlook, Word, Excel, PowerPoint, SharePoint).
- Experience using MS Teams or similar internal messaging systems.
- Familiarity with database and customer‑service ticketing systems.
