About the role
We are looking for a proactive, detail‑oriented Assistant Workplace Manager to ensure smooth daily operations and deliver an outstanding employee experience. The role works on‑site, partnering with internal teams, vendors, and building management to keep the workplace safe, efficient, and engaging.
Key responsibilities
- Oversee front‑desk and reception services.
- Support employee experience initiatives such as wellness programs, workshops, and in‑office amenities.
- Assist the Catering & Events Specialist with set‑up and tear‑down of large‑scale events.
- Serve as the primary contact for employee workplace requests and inquiries.
- Maintain high standards for office presentation, amenities, and overall environment.
- Help with onboarding and off‑boarding processes.
- Provide ad‑hoc support to the catering team for office food programs.
- Coordinate with building management, security, cleaning, and maintenance vendors; track maintenance requests (HVAC, lighting, plumbing).
- Support construction and renovation projects in partnership with project managers.
- Monitor workplace budgets and expenses.
- Assist with office space planning, seating arrangements, and internal moves; keep space‑management data up to date.
- Review capacity and utilization data to optimise workspace efficiency.
- Support emergency preparedness, fire drills, evacuation procedures, and badge access control.
- Ensure workplace policies and procedures are current and followed.
- Provide administrative and operational support to the Workplace team and improve standard operating procedures.
- Contribute to internal communications, reporting, surveys, and continuous‑improvement initiatives.
Required profile
- 5+ years of experience in workplace operations, facilities, or office management.
- Strong organisational and multitasking abilities with meticulous attention to detail.
- Proactive attitude with a track record of improving workplace processes.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities in a fast‑paced environment.
- Experience collaborating with vendors and cross‑functional teams.
- Bachelor’s degree or equivalent higher‑education qualification.
