IFA Administrator – Financial Services

About the role

We are seeking an experienced IFA Administrator to support a well‑established independent financial planning firm in Leeds. You will work closely with advisers and paraplanners, helping to deliver high‑quality financial planning services to a growing client base.

Key responsibilities

• Prepare and submit new business applications and investment trades.
• Obtain illustrations, key documents and policy information.
• Produce cost and charges disclosures and pre‑advice packs.
• Support client onboarding and ensure compliance requirements are met.
• Maintain accurate client records in back‑office systems.
• Manage workflows, diary tasks and deadlines.
• Submit letters of authority and follow up with providers.
• Ensure all files are audit‑ready and fully compliant.

Required profile

• Minimum three years’ experience in financial services administration.
• Strong understanding of pensions, investments and financial planning processes.
• High attention to detail and strong organisational abilities.
• Ability to thrive in a fast‑paced, deadline‑driven environment.

Required skills

• Experience with back‑office systems such as IO.
• Proficiency in Microsoft Word.
• Proficiency in Microsoft Excel.
