Office Manager

About the role

Brainlabs is looking for an Office Manager to lead Workplace Operations and Experience for its London office at the White Collar Factory. You will ensure the office runs smoothly and that employees enjoy a high‑quality workplace experience.

Key responsibilities

• Own the day‑to‑day running of the office, delivering a seamless experience for all staff.
• Act as the primary point of contact for workplace‑related needs, resolving issues quickly in partnership with the Office Coordinator you will lead.
• Manage relationships with external suppliers such as maintenance and cleaning services, maintaining high standards.
• Lead and support office improvement projects, from expanding meeting‑room capacity to introducing new processes and training.
• Communicate regularly with the office about updates, issues, and initiatives.
• Proactively identify opportunities to enhance the workplace experience and implement solutions.

Required profile

• Experience in an office management or workplace operations role.
• Highly organised, proactive and able to juggle multiple priorities.
• Strong problem‑solver who takes ownership and follows through.
• Thrives in a fast‑paced environment and embraces challenges.
• People‑first mindset with a positive, can‑do attitude.
• Experience in hospitality or high‑end service environments (e.g., hotels, member clubs, premium retail) is a plus.
