Senior Executive Assistant – Global Claims Operations

About the role
We are a leading global insurance organisation seeking a Senior Executive Assistant to provide dedicated 1:1 support to the Chief Operating Officer of Global Claims Operations. This high‑profile, hybrid role in London involves managing complex calendars, travel arrangements and stakeholder relationships across multiple time zones.
Key responsibilities
- Provide senior‑level 1:1 executive support to the COO, Global Claims Operations.
- Build strong working relationships with senior leadership teams and direct reports.
- Manage complex, high‑volume calendars across multiple time zones.
- Coordinate meetings, leadership reviews, off‑sites and business events.
- Organise monthly and quarterly business reviews and senior leadership meetings.
- Manage a busy inbox, prioritising and actioning correspondence.
- Arrange extensive international and domestic travel, including flights, accommodation and ground transportation.
- Coordinate visas and ensure compliance with country‑specific travel requirements.
- Process expenses via Concur.
- Prepare briefing packs, presentations, reports and meeting materials.
- Create and maintain electronic filing systems and documentation.
- Attend meetings, take minutes and track actions through to completion.
- Act as a key point of contact for internal and external stakeholders.
- Support onboarding activities, including equipment and system access requests for new joiners.
Required profile
- Proactive, resilient and highly organised.
- Extensive experience supporting C‑suite or senior executives.
- Previous experience working within a global matrix organisation.
- Proven ability to support international stakeholders across multiple regions and time zones.
- Strong stakeholder management skills with confidence at senior level.
- Excellent judgement, attention to detail and problem‑solving capabilities.
- Ability to handle sensitive and confidential information with absolute discretion.
Required skills
- Advanced Microsoft Office (PowerPoint, Excel, Outlook, Teams).
- Concur expense management system.
- Video‑conferencing platforms (e.g., Teams, Zoom).
- Electronic filing and documentation systems.
