About the role
We are looking for an Executive Assistant/Admin Assistant to join our Asset Servicing BBDI (EMEA) team in London. You will support senior executives by managing their priorities, diaries, travel, and communications, ensuring smooth day‑to‑day operations.
Key responsibilities
- Prioritise executive requests, negotiate activity timelines and manage competing demands.
- Maintain and resolve diary conflicts, handle short‑notice changes, and schedule meetings.
- Coordinate travel arrangements, visas, accommodations, logistics and detailed agendas.
- Prepare and reconcile expense reports.
- Produce briefing packs, agendas, pre‑reads, minutes and action trackers, following through to closure.
- Communicate effectively across all organisational levels and with external leadership.
- Conduct quality‑assurance checks, analyse reports and create MI reporting packs/presentations for management and clients.
- Participate in ad‑hoc special projects and executive‑level initiatives.
Required profile
- Bachelor’s degree or equivalent combination of education and experience (preferred).
- Strong administration skills with sound judgment and proactive problem‑solving.
- Ability to work to tight deadlines, switch focus quickly and prioritise tasks.
- Advanced analytical skills to assess information and summarise key themes.
Required skills
- Proficiency in Microsoft 365 suite – Outlook, Teams, Excel, PowerPoint, OneDrive/SharePoint.
