Gas Installation Coordinator (Planner)

About the role

We are looking for a Planner to join our Gas Installation Department in Leatherhead. The role, also known as a Gas Installation Coordinator, is responsible for ensuring smooth daily operations, managing engineers and subcontractors, and maintaining accurate paperwork.

Key responsibilities

• Communicate with agencies and subcontractors regarding timesheets and job details.
• Ensure all work orders contain necessary information and materials for first‑visit completion.
• Raise and approve subcontractor orders, process timesheets for payment and coordinate with accounts.
• Approve scaffolding invoices, maintain the scaffold register and provide monthly updates to clients.
• Register newly installed gas appliances on relevant portals.
• Prepare invoicing packs and process purchase orders for future and same‑day jobs.
• Update the weekly planned work list and share it with clients.
• Monitor engineers’ diaries, confirm next‑day job numbers with suppliers, and handle related email correspondence.
• Support the installations department with ad‑hoc administrative tasks.

Required profile

• Strong organisational and time‑management abilities.
• Excellent verbal and written communication skills.
• Ability to work both independently and as part of a team.
• Experience in a coordination or administrative role is preferred.
