Operations Coordinator

About the role

We are looking for an Operations Coordinator to join our team and help deliver exceptional travel and event experiences. You will work closely with colleagues, clients, and suppliers to ensure smooth logistics, accurate documentation, and a high‑quality customer journey.

Key responsibilities

• Manage accommodation allocations, track available beds, and meet sales team deadlines.
• Create tour documentation and supporting literature to a high standard within tight turnaround times.
• Schedule timetables for seminars, sporting tournaments, and other events.
• Liaise with suppliers to confirm visits, meals, travel, and venue details, updating the booking system accordingly.
• Maintain accurate costings, ensure tours stay within budget, and monitor client payments.
• Process supplier invoices and organise logistics for multiple groups travelling simultaneously.
• Communicate promptly with customers to gather group details, understand requests, and confirm bookings.
• Support on‑site event delivery, working face‑to‑face with groups and suppliers.
• Resolve customer queries and take ownership of the overall experience.

Required profile

• Proven experience delivering exceptional customer service.
• Strong multitasking ability, attention to detail, and a "can‑do" attitude.
• Ability to work under pressure, meet crucial deadlines, and manage time effectively.
• Team player who takes ownership of smooth operations from start to finish.
• Analytical mindset with commercial and financial awareness.

Required skills

• Good working knowledge of Excel.

What we offer

• Competitive salary between £25,000 and £33,000 per year.
• Full‑time, 35‑hour week, Monday‑Friday schedule.
