Administration Supervisor – Lead Team & Vendor Management

About the role
This hands‑on Administration Supervisor position is within a small international financial services organisation. You will lead a small administration team while overseeing vendor management, governance, executive support, facilities and operational activities. The role reports to the Head of Administration & Projects and acts as their deputy.
Key responsibilities
- Lead, supervise and support a small administration team, prioritising workloads and maintaining service levels.
- Act as deputy to the Head of Administration & Projects, overseeing administration, facilities, project coordination and IT support.
- Manage vendor processes including onboarding, risk assessments, contracts, invoice approvals and payments.
- Maintain governance and control frameworks, ensuring policies and procedures are consistently applied.
- Build relationships with senior stakeholders and support Executive Committee activities.
- Prepare high‑quality presentations, reports and business communications for senior management.
- Coordinate office management activities to ensure smooth day‑to‑day operations of the London office.
- Support project delivery, continuous improvement initiatives and facilities matters.
Required profile
- Previous experience managing administrative staff in a corporate or professional environment.
- Strong administrative background, preferably within financial services or a similar sector.
- Excellent organisational, planning and communication skills.
- Experience working with senior stakeholders and operating in a highly visible role.
- Understanding of governance, controls and compliance procedures.
- Proactive, collaborative approach with strong attention to detail and problem‑solving abilities.
Required skills
- Intermediate to advanced Microsoft Excel.
- Intermediate to advanced Microsoft PowerPoint.
- Intermediate to advanced Microsoft Word.
