Executive Assistant to COO (Creative Industry)

About the role
We are looking for a highly organised and proactive Executive Assistant to support the Chief Operating Officer in a fast‑paced creative environment. The role is fully office‑based and involves managing a wide range of operational, talent and client‑facing activities while maintaining the highest level of discretion.
Key responsibilities
- Manage the COO’s diary, schedule meetings, arrange travel and handle day‑to‑day calendar logistics.
- Coordinate internal and external meetings across multiple stakeholders and time zones, preparing agendas, presentations and briefing materials.
- Screen and prioritise emails, calls and correspondence on behalf of the COO.
- Support delivery of operational projects, liaise with department heads, creatives, freelancers, suppliers and clients, and monitor workflows, deadlines, budgets and resource planning.
- Maintain operational documentation, reporting systems and assist with event planning, shoots, launches or production logistics.
- Act as a key point of contact for the COO, building strong relationships with internal teams and external partners while handling confidential information.
- Process expenses, invoices, purchase orders and approvals; organise contracts, filing systems and digital records.
- Support onboarding of freelancers or new starters and contribute to office management tasks as needed.
Required profile
- Previous experience as a Personal Assistant, Executive Assistant or Operations Coordinator in a sports, entertainment, creative, media or fast‑moving commercial environment.
- Exceptional organisational and multitasking abilities with high attention to detail.
- Strong written and verbal communication skills and the ability to remain calm under pressure.
- Professional, discreet and proactive with a collaborative, positive attitude.
Required skills
- Proficiency in Microsoft Office.
- Proficiency in Google Workspace.
