About the role
We are seeking a friendly and organised Receptionist/Administrator to join our team on a full‑time basis (37.5 hours per week). Working across two service hubs in Kingsbury and Willesden Green, you will be the first point of contact for visitors, callers and professionals, providing a professional front‑of‑house experience.
Key responsibilities
- Deliver a courteous reception service at both Fairfields House and Bell House.
- Answer and forward telephone calls, manage the team inbox and maintain call logs.
- Process incoming and outgoing post, assist with letter generation using Docman and Hybrid.
- Maintain and update the iaptus electronic database and other record‑keeping systems.
- Support the operational team with room bookings, audit assistance and general administrative tasks.
- Provide cover for colleagues and share workload as part of a support team.
Required profile
- Excellent customer service and communication skills.
- Ability to work confidently in a dynamic, multi‑site environment.
- Team‑oriented mindset with a professional attitude.
- Flexibility to work between 8 am and 8 pm on weekdays, including occasional evening clinics.
Required skills
- IT skills and basic computer literacy.
- Experience with database management (iaptus).
- Familiarity with document handling systems such as Docman and Hybrid.
