About the role
d-fine is a fast‑growing European consulting firm seeking a proactive Office Manager for its London office. You will be the first point of contact, ensuring smooth daily operations and supporting both staff and clients in a dynamic, international environment.
Key responsibilities
- Serve as the primary point of contact for the London office, handling reception, guest services, and appointment coordination.
- Manage office supplies, housekeeping, and general secretarial duties.
- Process purchase invoices, prepare sales invoices, and liaise with the accountant.
- Administer contracts, maintain filing systems, and support travel management and hotel agreements.
- Coordinate staff and client events, conferences, and marketing activities.
- Assist with IT processes, ISO certifications, and internal marketing initiatives.
- Support HR functions such as recruiting events, applicant management, onboarding procedures, and policy maintenance.
- Oversee health & safety documentation and compliance.
Required profile
- Broad professional experience with strong attention to detail.
- Fluent written and spoken English; German language skills are a plus.
- Excellent organisational, coordination and communication abilities.
- Customer‑service orientation and the ability to multitask.
- Self‑motivated, capable of working independently and as part of a team.
Required skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
