About the role
The Office & Facilities Manager will ensure the London office runs smoothly, maintaining high standards of professionalism, productivity and presentation. Reporting to the Creative Director, this hands‑on role acts as the connective tissue across teams, supporting day‑to‑day operations without direct people management.
Key responsibilities
- Oversee all aspects of daily office operations to maintain a professional, well‑run environment.
- Coordinate and manage external contractors (cleaning, maintenance, ad‑hoc suppliers), ensuring quality delivery, cost control and accurate invoicing.
- Serve as primary liaison with building and estate management, logging issues and driving them to resolution.
- Manage utilities, including timely meter readings and related reporting.
- Proactively control office supplies, stationery and consumables in a cost‑effective manner.
- Own and track the office budget, reconciling expenditures and submitting company‑card expenses accurately.
- Handle post, deliveries and courier logistics to ensure reliability.
- Maintain the product stock room, implementing clear logging procedures for product movement.
- Lead health and safety practices, maintain incident records, support risk assessments and assist with onboarding health‑related inductions.
- Act as the primary internal point of contact for IT and systems coordination.
Required profile
- Proven experience in office administration or facilities management.
- Strong organisational skills with meticulous attention to detail.
- Ability to work independently, take ownership of tasks and follow through.
- Excellent judgement when liaising with senior leadership.
