About the role
ARM is looking for an Office Manager & PA to be the central hub of our London office. You will ensure a smooth, welcoming environment for staff, visitors and senior leaders while providing high‑level personal assistance to the MD, CEO and CSO.
Key responsibilities
- Serve as the first point of contact for the agency and manage the Front‑of‑House and Leeds Office Coordinators.
- Maintain a tidy, professional office space, handle restaurant bookings, catering requests and visitor reception.
- Coordinate IT support, stock levels, switchboard, meeting‑room setup and onboarding logistics (access fobs, office tours, etc.).
- Take minutes on external calls and fulfil ad‑hoc office requests for Leeds and Amsterdam.
- Track all office‑related costs accurately and manage supplier contracts for cleaning, building maintenance, AV services and other third‑party vendors.
- Lead health & safety duties – fire warden, first‑aid training, PAT testing, fire‑risk assessments and extinguisher servicing.
- Organise company events, including the biennial overnight Away Day, and monitor event budgets.
- Proactively manage the diaries of the MD, CEO and CSO, process expenses and provide comprehensive support to the senior leadership team.
