About the role
The NHS Ayrshire and Arran is seeking a Personal Secretary to provide confidential administrative support to the Mental Health Services directorate within North Ayrshire Health & Social Care Partnership. This permanent position is based at Ayrshire Central Hospital in Irvine.
Key responsibilities
- Deliver comprehensive secretarial support to the directorate, including correspondence and document preparation.
- Manage electronic diaries, schedule meetings, and coordinate appointments.
- Maintain electronic filing systems and ensure accurate record keeping.
- Take minutes at meetings and distribute them promptly.
- Handle confidential information in line with GDPR requirements.
Required profile
- O Grade/Standard Grade Credit or National 5 in English and Maths.
- SVQ Level III in Business Administration or equivalent qualification/experience.
- Recognised IT qualification or equivalent experience.
- Excellent written and verbal communication skills.
- Ability to work independently, maintain confidentiality, and adapt to changing demands.
Required skills
- Advanced keyboard proficiency.
- Minute‑taking experience.
- Electronic diary and filing system management.
- Microsoft Office suite: Word, Excel, Outlook, Teams, PowerPoint.
