Reception Experience & Facilities Coordinator

About the role

This role sits at the heart of Zego’s London headquarters, acting as the first point of contact for visitors and ensuring the office runs smoothly each day. You will manage facilities, health‑and‑safety compliance, and support company events while also overseeing the remote Halifax site.

Key responsibilities

• Own day‑to‑day office operations for the London HQ, keeping the space tidy, stocked, safe and welcoming.
• Serve as the primary liaison with building management, maintenance contractors and facilities service providers.
• Manage inventory of supplies, merchandise and groceries, and coordinate regular stock replenishment.
• Maintain fire, health and safety standards, conduct inductions and ensure compliance with all regulations.
• Oversee front‑of‑house security, visitor sign‑in procedures and daily attendance reporting.
• Conduct daily floor walks to monitor standards and address any issues promptly.
• Support planning and execution of company‑wide events, including catering, logistics and on‑the‑day delivery.
• Coordinate new‑starter onboarding, office tours and first‑day setups to deliver a positive experience.
• Act as remote lead for the Halifax office, handling weekly orders, maintenance coordination and monthly site visits.

• Highly organised with a strong eye for detail.
• Excellent interpersonal skills and a friendly, professional demeanor.
• Ability to manage multiple contractors and vendors simultaneously.
• Proactive approach to health‑and‑safety compliance and facilities management.
• Comfortable working on‑site full‑time, Monday to Friday.
