About the role
We are seeking a highly organised Executive Assistant to support the Director of an established London‑based beauty brand. This role sits at the heart of a fast‑paced, creative environment and offers exposure to a dynamic team while handling core administrative duties.
Key responsibilities
- Provide comprehensive diary and administrative support to the Director, coordinating schedules, priorities and travel.
- Arrange meetings, product launches and project timelines, liaising with internal teams and external partners.
- Maintain accurate records of meetings, action points and deadlines, ensuring timely follow‑up.
- Assist with day‑to‑day business administration, including contracts, invoicing, expenses and travel coordination.
- Support press, PR and creative projects, managing communications with media and agencies.
- Manage the Director’s schedule with agents and production teams, confirming timings and travel requirements.
- Assist with social media activity: draft, schedule content, upload assets and monitor engagement.
- Handle ad‑hoc personal tasks and errands with discretion.
- Act as primary office contact for suppliers, contractors and maintenance providers.
- Oversee office supplies and coordinate logistics for meetings, visitors and small team events.
Required profile
- Minimum 3 years experience as an Executive Assistant or Personal Assistant, preferably in a creative environment.
- Proven ability to stay organised and proactive under pressure.
- High level of discretion and confidentiality.
- Flexibility for occasional out‑of‑hours work.
Required skills
- Proficiency with Google Workspace.
- Proficiency with Microsoft Office Suite.
