About the role
The Executive Assistant will support a senior shareholder within Greenberg Traurig’s London office, handling a broad range of administrative and document‑processing tasks. This newly created position reflects the firm’s rapid growth and requires a proactive, detail‑oriented professional.
Key responsibilities
- Serve as the primary point of contact for internal and external stakeholders on matters relating to the shareholder.
- Manage a high‑volume mailbox: prioritize, draft, and respond to emails, and maintain organized filing.
- Oversee extensive calendar management, coordinating meetings, travel, and deadlines across multiple time zones.
- Arrange client meetings, conference calls, and book venues, taxis, and dining arrangements, including complex travel itineraries.
- Take notes, prepare agendas and minutes for selected meetings.
- Reconcile bank statements, process expense claims, and record time entries promptly.
- Conduct conflict checks on new clients and open new matters.
- Draft, proofread, and revise correspondence and engagement letters.
Required profile
- Willingness to work overtime as business needs dictate.
- Strong organisational abilities and meticulous attention to detail.
- Excellent written communication skills for drafting and proofreading documents.
- Ability to handle confidential information with discretion.
